RSRS operates in the business of secure record and information storage and retrieval. With services catering to many different sectors for both paper and electronic records, RSRS adheres to stringent industry standards for commercial record centers. As a member of both ARMA (Association of Records Managers and Administrators ) and AIIM (Association for Information and Image Management), RSRS consistently modifies its document security processes to ensure the privacy and physical security of our customer’s records and our compliance with both Canadian and American federal regulations.
Our health records policies are fully compliant with the federal PIPEDA legislation and the related provincial Acts respecting the protection of personal information in the private sector (PHIPA for Ontario, PIPA for British Columbia, PIPA for Alberta and Quebec's Act Respecting the Protection of Information in the Private Sector).
Our security processes work due to our stringent standards, our facilities and mostly because of our staff. Our friendly, knowledgeable employees receive pre-employment screenings and must authorize a background check. As well, all staff participate in ongoing review, training and safety programs.
RSRS utilizes facilities that are secure state-of-the-art centers with regulatory mandated fire suppression systems and seismically designed shelving and intrusion alarms. RSRS also makes use of biometric ID and access procedures .
‘Privacy’, ’Security’ and ‘Confidentiality’ have become increasingly key issues within our industry, and are core to our mandate. With increasingly strict compliance required of companies in our industry, we find that more and more businesses and turning to RSRS to ensure the safety, security, privacy and confidentiality of their records.
How RSRS Uses Information We Receive
Information we receive is used only to communicate with you about the information itself. We do not share information with anyone outside RSRS unless it is necessary to complete your request, or it's been authorized by you to do so. Lastly, we never use or share your personal information that you provide to us for purposes other than those described above.
Patient's Rights
When it comes to patient health records, we not only have measures in place to safeguard against their loss, theft and/or damage, we also take great care to ensure that access, copying and/or disclosure follow very stringent guidelines. Daily audits and systems are in place to monitor all patient record handling. Access to personal health information is strictly limited to the purpose(s) that were agreed to and only when authorized by the attending health care practitioner, patient, legal guardian or a court of law. RSRS fully respects a patient's legal entitlement to request and receive a copy of their health record in virtually all cases where a signed release of information form is provided. No information pertaining to a patient will be given to another health care provider or party without the prior consent of the patient.
